Data Use Policy

KLAS spends hundreds of thousands of staff hours each year to bring impactful research to the healthcare IT industry. This data use policy is intended to help KLAS customers appropriately share that research while retaining the accurate, honest, and impartial intent of KLAS materials as originally published.

Authorized Access

All KLAS data, reports, articles, images, and other works of authorship (hereafter referred to as “KLAS materials”) are copyrighted. This policy sets forth the guidelines by which individuals and organizations with authorized access may share those materials, both within their own organizations and with external parties.

Defining authorized access:

  • Provider, payer, and employer organizations gain authorized access to KLAS materials via a paid membership or by sharing feedback on the software and services in use at their organizations.

  • HIT software vendors, services firms, investment firms, and other organizations or individuals gain authorized access to KLAS materials via a paid membership or the purchase of individual KLAS materials (e.g., reports).

KLAS does not allow any user with authorized access to share their KLAS account or login with any other individual or organization. Individuals or organizations found to be granting others unauthorized access to their KLAS account will have their account access restricted.

If individuals or organizations are found to be sharing or accessing KLAS materials without authorized access or in a way that violate this data use policy, KLAS may take any or all of the following actions:

  • KLAS will ask you to remove, stop using, or take down the KLAS material.

  • KLAS will issue a clarification via press release, social media, newsletter, and/or other means outlining the inaccurate sharing of KLAS material and include the appropriate KLAS material for comparison.

  • KLAS will immediately expire the publishing organization’s membership if the organization refuses to acknowledge and make changes to the inaccurate sharing of KLAS materials.

General Guidelines

Within your own organization, you may freely share authorized KLAS materials to increase awareness of your customers’ successes and challenges. All KLAS materials shared outside of your organization (whether in digital or printed form) must comply with the guidelines outlined in this policy.

  • As a rule, KLAS data that is shared outside your organization must be independently verifiable by other KLAS customers (i.e., they can come to the KLAS website and verify your statements).
  • Any KLAS materials shared must include an attribution to KLAS.
    • If the material comes from a KLAS report, the report name and publication month/year must must be included.
  • Any content you create around KLAS scores must focus on your own company’s performance and may not mention or compare the scores or performances of competitors.
  • If your data is marked with any product designations—e.g., “limited data,” “not primary,” “emerging data,” etc.—that must be included in your attribution.
  • KLAS data on one product or segment cannot be used to promote another product or segment from your organization’s product line. (e.g., You cannot cite an exceptional executive involvement score for one product as evidence that your company excels in this metric across all products.)

Except for a window surrounding the annual Best in KLAS report release (see Best in KLAS section below), preapproval to use KLAS materials is not required as long as the materials comply with the guidelines outlined in this policy.

However, we are always happy to review materials to ensure compliance. Please submit your materials to datause@klasresearch.com, allowing for a response time of up to 48 business hours. Follow all guidelines listed below and include the source of your materials so our team can quickly verify.

Best in KLAS Report & Awards

General guidelines

During the release of the annual Best in KLAS report, preapproval is required for all KLAS materials being shared externally (whether or not they relate directly to the Best in KLAS report). This requirement is in effect for any materials shared 15 business days prior to the Best in KLAS report publication date and 45 days after the publication date.

Please submit your materials to datause@klasresearch.com, allowing for a response time of up to 48 hours. Follow all guidelines listed below and include the source of your materials so our team can quickly verify.

  • IMPORTANT: No organization other than KLAS has distribution rights to the Best in KLAS report, meaning no organization or individual may distribute the full report PDF outside their own organization or host the report for download on their own website. When directing audiences to the Best in KLAS report, always link to the report page on the KLAS website.
  • All vendors with authorized access may share their scores and rankings from the Best in KLAS report, including their overall performance score, trend percentage, customer experience pillar grades, market energy, and scores from the “Other Notable Performances” section. However, what they can say about those scores and rankings varies depending on their positioning in the report (see Quick Reference Guide and expanded sections below).
  • All vendors with authorized access may share up to two charts from the Best in KLAS report (but not from the live data on the website). You must include the full chart, report title, and date. You may not alter charts in any way or rechart the data into your own formatting or branding.
  • Any content you create around Best in KLAS scores or ranking must focus on your own company’s performance and may not mention or compare the scores or performances of competitors.
  • KLAS data on one product or segment cannot be used to promote another product or segment from your organization’s product line.
  • Other KLAS customers must be able to verify your statements independently via the Best in KLAS report or KLAS website.
  • Where possible, include a link to the Best in KLAS report in your marketing materials.
  • Customer commentary from the website may be shared in full and unaltered. Include a KLAS attribution as well as the individual’s job title and the month/year the comment was collected (see example below). Commentary must be no older than 36 months at the time of use. This ensures that others can verify the comment on the website (comments drop off the website after 36 months). If you need to shorten a quote for length, preapproval from KLAS is required. Note that KLAS reserves the right to withhold approval if we feel the edits change the tone of the quote or remove important context.

Solutions ranked #1

  • The solution ranked number 1 in each market segment is the sole Best in KLAS winner in that segment for that year, and only that vendor is permitted to claim they are “Best in KLAS” for that segment/year.
    • Be sure to include the segment name and year in all references to your Best in KLAS win.
  • If you are the Best in KLAS winner in your market segment, you can use phrases such as “the top performer in [segment],” “number one in [segment], “the market leader in [segment],” etc.
  • Only the Best in KLAS winner in a given segment can use the Best in KLAS logo. Please use the logo that is specific to the market segment you won (i.e., “Application Hosting”). The Best in KLAS and Category Leader logos cannot be redesigned or altered in any way.
    • To reference multiple awards, you may use the generic “Best in KLAS, Software & Services” logo, provided the name of each relevant segment and year is included in the promotional material.

Other ranked solutions

  • Other vendors that have a numbered ranking in the report can share that they are “ranked,” “measured,” or “rated” in the Best in KLAS report. They can share their ranking and scores but cannot claim to be Best in KLAS or use the Best in KLAS logo.
  • Additionally, if they are one of the top three ranked solutions, they can use phrases such as “a top performer” or “a market leader.”

Solutions not ranked

  • Solutions in the “Solutions Not Ranked” section in a given category are not eligible for Best in KLAS ranking. However, vendors may promote the fact that their solution was measured or rated (but not ranked) in the Best in KLAS report and share their overall performance scores and customer experience pillar grades.
    • Examples of acceptable promotional materials:
      • “Now rated in Best in KLAS!”
      • “Rated in the 2025 Best in KLAS report”
      • “Scored XX.X in the 2025 Best in KLAS report”
  • Vendors in this section may not claim ranking or positioning of any kind (e.g., they cannot claim to be a “top” performer, even if their score is technically among the top three).
  • Any product designations applied to solutions in the “Solutions not ranked” section (e.g., “limited data,” “not primary,” “component,” etc.) must be included in any vendor-created materials that mention the Best in KLAS measurement.

Solutions in non-award segments

  • To be eligible for Best in KLAS status, a market segment must contain at least two fully rated solutions (for some segments, additional criteria may apply). When this criteria is not met, data for a segment may still be included in the report, but no award is given and the solutions within that segment are not ranked.
  • Vendors in non-award segments may promote their scores and insights (see “Solutions not ranked” section above for guidelines), but they may not claim to be Best in KLAS nor make any statements implying that they are the highest or best in their category.

Referencing awards from past years

  • A Best in KLAS or Category Leader award can be used indefinitely. The year and market segment must always be included.
  • As of January 2021, KLAS no longer gives Category Leader awards. All award segments now receive the designation of “Best in KLAS.” As of February 2025, the term “Category Leader” has been retired altogether. Past winners of a Category Leader award can now refer to the award as a Best in KLAS award; however, KLAS will not be updating past Category Leader logos, nor can winners alter the logos themselves.

Most Improved and Significant Improvement Recognitions

Vendors recognized in the Best in KLAS report as “Most Improved” or as having achieved “Significant Improvement” can promote these accomplishments, but these recognitions cannot be referred to as Best in KLAS awards.

  • Most Improved recognitions: Please include in your materials the category and year in which you were recognized as most improved (e.g., “After achieving a XX% improvement in customer satisfaction over the past year, we were recognized as the Most Improved Services Solution in the 2024 Best in KLAS report”). Note that the Best in KLAS logo/badge cannot be used for this recognition, nor can vendors claim to have won a Best in KLAS award.
  • Significant Improvement recognitions: Please include in your materials the year in which you were recognized for significant improvement (e.g., “We were recognized in the 2024 Best in KLAS report for achieving a XX% improvement in customer satisfaction over the past year”). Note that the Best in KLAS logo/badge cannot be used for this recognition, nor can vendors claim to have won a Best in KLAS award.

Healthcare IT Insights Reports (Segments Insights, Decision Insights, Market Share Reports, etc.)

General Guidelines

Within your own organization, you may freely share KLAS materials to increase awareness of your customers’ successes and challenges. All KLAS materials shared outside of your organization (whether in digital or printed form) must comply with the guidelines below.

  • As a rule, KLAS data that is shared outside your organization must be independently verifiable by other KLAS customers (i.e., they can come to the KLAS website and verify your statements).
  • Any materials shared from KLAS reports must include the report name and publication month/year.
  • Any content you create around KLAS scores must focus on your own company’s performance and may not mention or compare the scores or performances of competitors.
  • KLAS data on one product or segment cannot be used to promote another product or segment from your organization’s product line. (e.g., You cannot cite an exceptional executive involvement score for one product as evidence that your company excels in this metric across all products.)

Ratings/Scores from KLAS Reports

  • You may share your own company’s scores and grades from KLAS reports.
  • Outside of the annual Best in KLAS report or Emerging Solutions Top 20 report, you may not use the term “ranked” or in any other way make definitive, comparative, or superlative statements about your performance or position in the market (e.g., you may not use phrases such as “the highest score” or “the top performer”).
    • Instead of phrases that focus on ranking, use phrases such as:
      • “rated by KLAS” or “reviewed by KLAS”
      • a top performer” and “a high scorer”
        • Use of such phrases is allowed only if you:
          • Are one of a segment’s top three vendors in terms of overall performance score
          • Do not have any product designations attached to your data (e.g., limited data, component, etc.)
  • If your data is marked with any product designations—e.g., “limited data,” “not primary,” “component,” etc.—that must be included in your usage.

Customer Quotes from KLAS Reports

  • You may only share customer quotes or comments that are specifically about your product.
    • Only the full quotes as presented are permissible.
      • If you need to shorten a quote for length, please email the proposed changes to KLAS for approval. Note that KLAS reserves the right to withhold approval if we feel the edits change the tone of the quote or remove important context.
    • Include the full quote, job title, and report title and date.
      • Example: “[Full quote.]” –Manager, [full report title], March 2024

Charts/Images from KLAS Reports

  • You can share up to two images from a report. You must include the full chart, report title, and date.
    • You may not alter images for sharing or rechart the data into your own formatting and branding.

Website Links to KLAS Reports

  • You may share website links to published reports freely.

Full KLAS Reports

Full versions of published reports can be shared externally only if you specifically purchase KLAS distribution rights. Contact your KLAS representative for more information about distribution rights.

  • Exception: Full versions of Summit Executive Overviews and other complimentary reports can be shared without restriction as they are available in front of the KLAS paywall.

Emerging Insights Reports & Awards

General Guidelines

Within your own organization, you may freely share your First Look, Second Look, Emerging Company Spotlight, or Emerging Insights case study. All KLAS materials shared outside of your organization (whether in digital or printed form) must comply with the guidelines below.

  • As a rule, KLAS data that is shared outside your organization must be independently verifiable by other KLAS customers (i.e., they can come to the KLAS website and verify your statements).
  • Any KLAS materials shared must cite the report name and date.
  • Any content you create around KLAS scores must focus on your own company’s performance and may not mention or compare the scores or performances of competitors.
  • KLAS data on one product or segment cannot be used to promote another product or segment from your organization’s product line. (e.g., You cannot cite an exceptional executive involvement score for one product as evidence that your company excels in this metric across all products.)

First Looks, Second Looks, Emerging Company Spotlights & Emerging Insights Case Studies

  • Scores/ratings: Vendors may externally share scores and ratings from the report (e.g., key performance indicators, overall performance score, individual metric ratings, etc.).
    • If your data is marked with any product designations—e.g., “limited data,” “emerging data,” etc.—that must be included in your usage.
    • You may not use the term “ranked” or in any other way make definitive, comparative, or superlative statements about your performance or position in the market (e.g., you may not use phrases such as “the highest score” or “the top performer”). Instead, use phrases such as “rated by KLAS” or “reviewed by KLAS.”
  • Charts/images: You can share up to two images from a report. You must include the full chart, report title, and date. You may not alter charts/images in any way or rechart the data into your own formatting or branding.
  • Client commentary: Quotes must be presented in full with no edits or alterations.

  • Quotes from participating thought leaders: Quotes must be presented in full with no edits or alterations.
    • If you need to shorten a quote for length, please email the proposed changes to KLAS for approval. Note that KLAS reserves the right to withhold approval if we feel the edits change the tone of the quote or remove important context.
    • Include the attribution “healthcare organization thought leader,” the month/year the report published, and an attribution to KLAS.
      • Example: “[Full quote.]” Healthcare organization thought leader, October 2024, collected by KLAS Research

K2 Collaborative Case Studies & Awards

K2 Collaborative Points of Light Case Studies & Awards

  • Case study content: K2 Collaborative Points of Light collaborators are encouraged to promote their own organization’s case study and related outcomes. If you quote KLAS findings directly, please use quotation marks.
  • K2 Collaborative Points of Light logo: Collaborators that receive a K2 Collaborative Points of Light award may use the K2 Collaborative Points of Light logo in promotional and other materials. The logo cannot be redesigned or altered in any way.

K2 Collaborative Peak Awards

  • K2 Collaborative Peak award logo: Collaborators that receive a K2 Collaborative Peak award may use the K2 Collaborative Peak logo in promotional and other materials. The logo cannot be redesigned or altered in any way.

Live Data from the KLAS Website

  • Live data from the KLAS website–including scores, grades, trends, or positioning–cannot be shared outside your organization as that data changes daily and therefore cannot be verified by other KLAS customers. Any statements based on live website data (e.g., “the highest performer”) are also prohibited.

    • Exception: Vendors with a KLAS membership can embed the KLAS live score widget on their website. The widget displays your KLAS overall performance score in real time and updates daily as the score changes. For more information on accessing the live score widget, contact your KLAS representative.
  • The “product comparison summaries” generated via the compare functionality on the KLAS website are for use only in one-on-one engagements between your organization and potential customers. The summaries must be presented in full, and data from them cannot be used in any public promotional or marketing materials.

Customer Commentary from the KLAS Website

  • Customer commentary from the website may be shared in full and unaltered.
    • If you need to shorten a quote for length, preapproval from KLAS is required. Please email the proposed changes to datause@klasresearch.com for approval. Note that KLAS reserves the right to withhold approval if we feel the edits change the tone of the quote or remove important context.
  • Include the individual’s job title, the month/year the comment was collected, and a KLAS attribution.

  • You may only share customer quotes or comments that are specifically about your product.

Data Shared in Consulting Engagements

  • KLAS materials provided during an executive consulting session with KLAS (e.g., Deep Dive, Quarterly Update) are not permitted for external use.
    • The exception is data that is also available in other KLAS content that meets the criteria established in this policy.

KLAS Blogs

  • Links to KLAS blogs can be shared freely.
  • Vendors without a KLAS membership cannot promote performance content included in a KLAS blog.

KLAS Arch Collaborative Data & Awards

General Guidelines

Within their own organization, members of the KLAS Arch Collaborative (both healthcare organizations and vendors) may freely share Arch Collaborative materials. All materials shared outside of your organization (whether in digital or printed form) must comply with the guidelines outlined in this policy.

  • Any materials shared must include an attribution to the KLAS Arch Collaborative as well as the date they were sourced or published.
  • Data from the Arch Collaborative is not ranked, meaning a vendor or healthcare organization cannot assign any kind of ranking to their data. For example, statements such as “We’re #1 as ranked by the Arch Collaborative” are not permitted.
  • Active Arch Collaborative members may use the KLAS Arch Collaborative Member logo in promotional and other materials. The logo cannot be redesigned or altered in any way.
  • Active Arch Collaborative members can request an anonymized data set from KLAS for use in academic research purposes.
    • Any Arch Collaborative data used for this purpose must properly cite the KLAS Arch Collaborative and include a link to the Arch Collaborative’s webpage.

Arch Collaborative Survey Results & Scorecards

Arch Collaborative members may freely share data and findings from their own organization’s survey results and scorecards in both internal and external materials (including promotional materials and industry events/presentations).

  • Preapproval from KLAS is not required. Be sure to cite the KLAS Arch Collaborative in such materials.

Arch Collaborative Reports

The guidelines below apply to active members of the KLAS Arch Collaborative, whether healthcare organizations or vendors.

Impact Reports

  • Full reports: Arch Collaborative members are welcome to share full copies of Impact Reports (whether in digital or printed form) within their own organizations. Sharing full reports outside of your organization or hosting full reports on your website is not permitted, though links to these resources on the KLAS website may be posted or freely shared with external parties.
  • Insights/findings: Individual insights and findings from Impact Reports can be shared externally. You must cite the KLAS Arch Collaborative, the report title, and the month and year of publication. If you quote exact text from a report, please use quotation marks.
  • Charts/graphics: Charts and graphics from Impact Reports can be shared externally. You must include the full chart, the report title, and the month and year of publication. You may not alter charts/graphics in any way or rechart the data into your own formatting or branding.
  • Clinician commentary: Quotes from interviewed clinicians must be presented in full with no edits or alterations.
    • If you need to shorten a quote for length, please email the proposed changes to KLAS for approval. Note that KLAS reserves the right to withhold approval if we feel the edits change the tone of the quote or remove important context.
    • Include a KLAS attribution as well as the individual’s job title and the month/year the report was published.

Guidebooks

Arch Collaborative physician and nurse guidebooks are intended for use only by Arch Collaborative members and cannot be shared outside your organization or hosted on your website. However, links to these resources on the KLAS website may be posted or freely shared with external parties.

The Arch Collaborative Success Pathways can be shared freely with both internal and external parties.

Arch Collaborative Case Studies

Healthcare Organization Members

  • Full case studies: Healthcare organizations are encouraged to promote their own organization’s case studies and can do so via the web (e.g., hosting a copy of the PDF on your website) or by distributing digital or physical copies. Distributing case studies that are about organizations other than your own is not permitted.
  • Insights/findings: Healthcare organizations are also encouraged to promote insights and related Arch Collaborative metrics included in their own case studies (e.g., “We scored in the 99th percentile for initial training”). When doing so, please cite the KLAS Arch Collaborative, the case study name, and the month and year of publication (e.g., KLAS Arch Collaborative, “Improving Ongoing Provider EHR Education by Aligning Incentives,” August 2025). If you quote exact text from the case study, please use quotation marks.
  • Charts/graphics: Healthcare organizations are permitted to share charts and graphics from their case studies. You must include the full chart, the case study title, and the month and year of publication. You may not alter charts/graphics in any way or rechart the data into your own formatting or branding.

Vendor Members

  • Full case studies: Arch Collaborative vendors/firms highlighted in a customer’s case study can promote the case study via the web (e.g., hosting a copy of the PDF on your website) and can distribute digital or physical copies.
    • Vendors and firms not highlighted in a case study: EHR vendors with an Arch Collaborative membership may promote their own customers’ case studies even if the vendor themselves is not highlighted. Other vendors and firms with an Arch Collaborative membership can reference case studies in which they themselves are not highlighted, but this can only be done in one-on-one scenarios with customers. Public promotion is not allowed.
  • Insights/findings: Arch Collaborative vendor/firm members highlighted in a customer’s case study can promote insights and related Arch Collaborative metrics included in the case study (e.g., “The customer organization scored in the 99th percentile for the EHR enabling quality care”). When doing so, please cite the KLAS Arch Collaborative, the case study name, and the month and year of publication (e.g., KLAS Arch Collaborative, “Improving Ongoing Provider EHR Education by Aligning Incentives,” August 2025). If you quote exact text from the case study, please use quotation marks.
  • Charts/graphics: Arch Collaborative vendor/firm members highlighted in a customer’s case study can share charts or graphics from the case study. Webinars are intended for Arch Collaborative members only and cannot be shared publicly or with other organizations.

Arch Collaborative Awards

Arch Collaborative EHR Experience Pinnacle Award

  • Healthcare organizations are encouraged to promote their Pinnacle awards externally. You must include the relevant category (physicians or nurses) and the year awarded.
  • Award logos: Winners may use the EHR Experience Pinnacle Award logo in promotional and other materials. The logo cannot be redesigned or altered in any way.
  • Vendor members of the Arch Collaborative can celebrate current customers who win a Pinnacle award by promoting customers’ wins externally.
    • All such statements must be preapproved by the KLAS Data Use team.

Arch Collaborative EHR Experience Breakthrough Recognition

  • Healthcare organizations are encouraged to promote their Breakthrough recognitions externally. You must include the relevant category (physicians or nurses) and the year awarded.
  • Recognition logos: Winners may use the EHR Experience Breakthrough Recognition logo in promotional and other materials. The logo cannot be redesigned or altered in any way.
  • Vendor members of the Arch Collaborative can celebrate current customers who are given a Breakthrough recognition by promoting customers’ recognition externally.
    • All such statements must be preapproved by the KLAS Data Use team.

Arch Collaborative Custom Data

Healthcare Organization Members

Outside of your organization’s own survey results and scorecards, any custom data prepared for you by KLAS can only be used internally within your own organization. It may not be shared publicly or with other organizations.

Vendor Members

Vendors and firms with an Arch Collaborative membership can share their own vendor-specific customer data outside their own organizations only if it is aggregated and only if there is no benchmarking or comparison to other vendors.

  • Any other custom data prepared for your organization by KLAS can only be used internally within your own organization. It may not be shared publicly or with other organizations.

Use of KLAS Data/Materials in Artificial Intelligence Tools

  • External/public AI tools: Customers are expressly forbidden from inputting into, linking to, pairing with, or otherwise using KLAS materials, either full or in part, with any artificial intelligence system, including but not limited to generative AI (such as ChatGPT, Gemini), algorithmic AI, or other AI platforms that are accessible to the public, which use has the potential to expose KLAS materials to an AI’s model training. This prohibition also applies to private AI tools that allow access to or use by individuals who are not part of the customer’s organization.
  • Internal/private AI tools: Organizations with authorized access to KLAS materials are permitted to engage KLAS materials with internal AI tools under the condition that such engagement does not lead to the public dissemination of KLAS materials as identified above. This prohibits the inclusion of KLAS materials in public databases and the provision of access to unauthorized third parties who have not paid to access KLAS materials. Customers utilizing third-party AI tools must have agreements in place guaranteeing their adherence to safeguarding KLAS materials as defined above. Furthermore, the customer is not allowed to resell, publish, or distribute any analysis or results derived from the use of KLAS materials and AI outside of their own organization.
